terms and conditions

The short version

  • Pay when you book. Cancel more than 24 hours ahead for a full refund;  less than 24 hours or no-show, you are charged in full.
  • Maximum 4 people per bay. Under-16s must be with an adult unless they are a junior member with parental consent.
  • Golf in a bay carries a real risk of being hit by a club or ball. Follow the bay rules and staff instructions at all times.
  • Use only our balls. You pay for damage caused deliberately, recklessly or by breaking the rules.
  • We are responsible if we are negligent. Nothing in these terms takes away your legal rights.

1. These terms

1.1    These terms apply to every booking, membership and visit. The person who makes a booking (the “lead booker”) accepts them for the whole group and must make sure the group knows the Bay Safety Rules (Appendix A).

1.2    Event and private hire bookings may also have a written event confirmation. If it conflicts with these terms, the event confirmation applies.

1.3    Nothing in these terms affects your legal rights as a consumer.

2. Bookings and payment

2.1    Book online, by phone or at the venue. A booking is confirmed when we send you a confirmation. Bookings are paid in full at the time of booking, unless we agree otherwise.

2.2    Prices include VAT. Any compulsory charges are shown before you pay. Peak and off-peak prices may differ.

2.3    A maximum of 6 people (players and spectators) may be in a bay. Larger groups must book more bays.

2.4    Groups and events: a 25% deposit secures the date and the balance is due 7 days before the event. The deposit is deducted from the final bill.

3. Cancellations, changes and late arrival

3.1    More than 24 hours’ notice: full refund or a free move to another time.

3.2    Less than 24 hours’ notice or no-show: the full booking price is charged.

3.3    Because bay bookings are for a specific date and time, the 14-day cancellation right for online purchases does not apply to them.

3.4    Your session ends at the booked time even if you arrive late. Please arrive 10 minutes early and leave the bay promptly at the end.

3.5    If we have to cancel, or a simulator fails and cannot be fixed within 15 minutes, you can choose a refund for the time lost or a free rebooking.

3.6    Event cancellations: more than 30 days’ notice – deposit refunded; 30–8 days – deposit kept; 7 days or fewer – 100% of the event price.

4. Children and young people

4.1    Under-16s on a pay-and-play booking must be with, and actively supervised by, an adult aged 18 or over at all times, with no more than 2 children per adult.

4.2    Young people aged 12–15 may play without an adult only as a junior monthly member with a signed parental consent form, during junior hours (tbc) and when staff confirm that junior play is available.

4.3    Aged 16 and 17: may play without an adult with parental consent until 19:00. After that time, an adult must be present.

4.4    We serve alcohol only to people aged 18 or over and operate Challenge 25. Please bring photo ID.

5. Membership

5.1    Membership is personal to the named member and cannot be shared or transferred. Members can bring up to 1 guests per booking (extra guests are charged at £5 per hour).

5.2    Membership runs month to month, paid in advance by card or Direct Debit on the same day each month, with a minimum term of 3 months for individual memberships and 6 months for corporate memberships. You can cancel at any time by giving 30 days’ notice by email or through your online account. Your membership will remain active until the end of your next billing cycle, and your monthly golf hours will continue to be available until that date. You keep your benefits until the end of the period you have paid for.

5.3    Monthly booking allowances must be used in that month and do not roll over. Two no-shows in a month may suspend advance booking for the rest of that month.

5.4    If you join online or by phone, you can cancel within 14 days of joining for a full refund. If you ask to start using the membership during those 14 days and then cancel, we may charge a proportionate amount for what you have used.

5.5    We will give at least 30 days’ notice of any price increase. You can cancel before it takes effect without penalty. We will also send any renewal reminders the law requires.

5.6    If a payment fails, member benefits will be suspended until it is paid. We may end a membership for serious or repeated breach of these terms, and will refund any unused, prepaid period except where the breach involves violence, abuse or deliberate damage.

6. Safety

6.1    Indoor golf carries risks, including being struck by a club or ball, ball rebounds and slips. We have assessed these risks and put controls in place, but they can only work if everyone follows the Bay Safety Rules, the signs and staff instructions.

6.2    Only take part if you are fit to do so. Tell staff about any medical condition that could affect you. Stop and tell staff straight away if you feel unwell or notice any damage to a screen, mat, enclosure or club.

6.3    Staff may pause or end a session, or ask anyone to leave, if their behaviour or condition (including intoxication) puts others at risk. No refund is given when a session is ended for a breach of these terms.

6.4    Staff trained in first aid are on site. In an emergency, follow staff directions and use the marked fire exits.

7. Conduct, food and drink

7.1    Please treat staff, other guests and the venue with respect. Abusive, aggressive or unlawful behaviour will lead to removal and may be reported to the police.

7.2    No outside food or drink. Drinks must be kept on the tables provided and never taken into the hitting area. No smoking or vaping inside.

8. Equipment, damage and belongings

8.1    Use only the golf balls we provide. Your own clubs must be clean and in good condition, and staff may refuse clubs that look unsafe.

8.2    You are responsible for damage to the venue or equipment caused deliberately, recklessly or by breaking the Bay Safety Rules. You are not responsible for normal wear and tear or for genuine accidents during normal, careful play. We will show you evidence of any damage and charge only the reasonable cost of repair or replacement.

8.3    Please look after your belongings and your own clubs. We are not responsible for their loss or damage unless we caused it through our own negligence.

9. Our responsibility to you

9.1    We will provide our services with reasonable care and skill and take reasonable care to keep the venue safe.

9.2    Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to exclude.

9.3    Apart from that, we are not responsible for: (a) loss or injury caused by you or your group not following the Bay Safety Rules or staff instructions; (b) the actions of other guests that we could not reasonably have prevented; (c) losses that could not reasonably have been foreseen; (d) business losses; or (e) events beyond our reasonable control.

9.4    You are responsible for any injury or damage you cause to others through carelessness or by breaking the Bay Safety Rules. The lead booker is responsible for making sure their group, and any children in it, follow these terms.

10. CCTV, photos and your data

We use CCTV for safety and security. We use your personal data to manage bookings and memberships, as explained in our Privacy Notice at [link]. Simulator software may record shot data linked to your booking. We send marketing only if you have agreed to receive it.

11. Changes, complaints and law

11.1  We may update these terms. A booking is governed by the version that applied when it was made. Members will get 30 days’ notice of any significant change and may cancel without penalty.

11.2  Please send any complaints to clubhouse@stripeclub.golf. We aim to reply within 5 working days.

11.3  These terms are governed by the law of England and Wales. If you live in Scotland or Northern Ireland, you may also bring a claim in your local courts.
